Please read these terms before placing an order or enquiry with The Flour Pot.

These terms apply to all orders and enquiries placed with The Flour Pot, operated by Samantha, a sole trader based in Bakewell, Derbyshire. By placing an order or submitting an enquiry, you agree to these terms.

1. Custom cake orders

Booking and deposit

  • A non-refundable deposit of 25% of the quoted price is required to secure your date. Your date is not held until the deposit is received.
  • The remaining balance is due 7 days before the event date.
  • Failure to pay the final balance by the due date may result in the order being cancelled without refund of the deposit.

Minimum notice

  • Standard celebration cakes: minimum 5 days' notice
  • Wedding cakes: minimum 3 months' notice. We recommend booking 6–12 months in advance for busy dates.

Design changes

  • Minor design changes may be accommodated up to 2 weeks before the event date.
  • Significant design changes requested less than 2 weeks before the event may incur an additional charge.
  • Size changes (affecting the quoted price) must be made at least 2 weeks before the event.

Cancellations

  • More than 4 weeks before event: deposit is forfeited; no further charge.
  • 2–4 weeks before event: 50% of the total order value is due.
  • Less than 2 weeks before event: 100% of the total order value is due.
  • Cancellations must be made in writing to [email protected].

2. Edible print orders

  • All edible print sales are final unless the product arrives damaged or significantly different from the description.
  • Prints are made to order — please allow 2–3 working days for dispatch.
  • Colour may vary slightly from screen representations due to food-safe ink limitations.
  • Prints must be used within 3 months of receipt and stored in a cool, dry place away from direct sunlight.

3. Postage & delivery

Edible prints — postal rates

Current postage rates are displayed on the Delivery page and shown at checkout. Rates are set by Royal Mail and may be updated from time to time. The rate applicable at the time of checkout is the rate charged.

  • Free standard postage is applied automatically to orders totalling £30 or more.
  • Prints are dispatched within 2–3 working days of your order being placed. Dispatch times may be longer during busy periods — we will notify you if there is a significant delay.
  • We use board-backed envelopes (A4) and rigid postal tubes or board-backed sleeves (A3) to protect prints in transit.

Edible prints — Royal Mail & transit

  • Once an order has been dispatched, delivery is handled entirely by Royal Mail and is outside our control. We are not liable for delays caused by Royal Mail or any other carrier.
  • Estimated delivery times (e.g. 1st Class: 1–2 working days) are Royal Mail targets, not guarantees. We cannot issue refunds solely on the basis of a delayed delivery unless the item is officially declared lost.
  • Royal Mail considers a parcel lost after 10 working days from the expected delivery date (15 working days for Special Delivery). We will raise a claim on your behalf once this period has elapsed and will offer a replacement or full refund upon a successful claim outcome.
  • We retain proof of postage for every order. If you believe your order is lost, please contact us promptly so we can begin the claims process.
  • We are not responsible for non-delivery caused by an incorrect or incomplete address entered at checkout. Re-dispatch will be arranged at the customer's cost.
  • If a parcel is returned to us as undeliverable (e.g. not collected from a sorting office within the holding period), we will contact you. Re-dispatch is available at the current postage rate.

Edible prints — damaged items

  • If your prints arrive damaged, you must photograph both the packaging and the product immediately upon receipt and contact us within 48 hours at [email protected].
  • Claims reported after 48 hours, or without photographic evidence, cannot be accepted as we are unable to raise a damage claim with Royal Mail.
  • Where a valid damage claim is made, we will offer a replacement or refund at our discretion.

Custom cakes — delivery

  • We currently hand-deliver cakes to Sheffield, Bakewell, Chesterfield, Matlock, and the surrounding Peak District area. Delivery charges are confirmed on your quote.
  • Someone must be present at the delivery address to receive the order. We cannot leave cakes unattended. If you are not available at the agreed time, we will attempt to rearrange delivery, which may incur an additional charge.
  • We will notify you approximately 30 minutes before arrival.
  • Once the cake has been delivered and accepted, it is your responsibility. We are not liable for damage caused by incorrect storage, handling, transport, or temperature after delivery or collection.
  • If you choose to collect your cake, full responsibility for its safe transportation passes to you at the point of collection.

4. Allergens

Our products are made in a kitchen that handles the following allergens:

  • Gluten (wheat flour)
  • Eggs
  • Dairy (butter, milk, cream)
  • Nuts (including walnuts and pecans)
  • Soya

While we take every precaution when baking products for customers with dietary requirements, we cannot guarantee a completely allergen-free environment. Please inform us of all allergies and dietary requirements at the time of enquiry. We accept no liability for allergic reactions where dietary requirements were not declared.

5. Complaints and damage

  • If your product arrives damaged, please photograph it immediately and contact us within 24 hours at [email protected].
  • We will do our best to offer a remedy — a replacement, partial refund, or credit toward a future order — at our discretion.
  • We are not responsible for damage that occurs after delivery or collection.

6. Intellectual property

All cake designs, print patterns, photographs, and website content created by The Flour Pot remain our intellectual property. You may share photos of your cake on social media — we'd love it if you tag us — but you may not reproduce or sell our designs.

7. Limitation of liability

To the fullest extent permitted by law, The Flour Pot's liability for any claim related to an order is limited to the value of that order. We are not liable for indirect losses such as venue costs or other third-party expenses.

8. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
